Tilo: AI Meeting Notes Summary (“Tilo,” “we,” “our,” or “us”) is an AI-powered meeting assistant that helps users process meetings, recordings, transcripts, uploaded documents, and Google Calendar event information to generate meeting notes, summaries, transcripts, and action items.
Your privacy is important to us. This Privacy Policy explains what information we collect, how we use it, how we protect it, and how we handle Google user data.
1. Information We Collect
Depending on how you use Tilo, we may process the following types of information:
Meeting and Content Data
This may include meeting recordings, audio, video, transcripts, meeting titles, participant names, uploaded PDFs, documents, notes, and any other content you provide to generate summaries or meeting notes.
Account Information
If you sign up, contact us, or connect your account, we may receive basic information such as your name, email address, and profile information.
Google Calendar Data
If you choose to connect your Google Calendar, Tilo requests read-only access to your calendar events.
Tilo uses Google Calendar event data only to identify your scheduled meetings and detect meeting links, such as Google Meet, Zoom, or other online meeting URLs, so that the Tilo meeting bot can join the meeting when authorized by you and provide meeting notes, summaries, transcripts, and action items.
The Google Calendar data we may access includes event title, event start and end time, meeting link, event description, and related event metadata.
Tilo does not edit, create, or delete your Google Calendar events.
Technical Information
We may collect basic technical information such as IP address, browser type, device information, operating system, usage logs, error logs, and timestamps. This information is used to operate, secure, troubleshoot, and maintain the service.
2. How We Use Information
We use information only to provide the Tilo features requested by users, including to:
- Read Google Calendar events when authorized by the user
- Identify scheduled meetings and meeting links from calendar events
- Allow the Tilo meeting bot to join meetings when authorized by the user
- Generate meeting summaries, transcripts, notes, and action items
- Process uploaded recordings, transcripts, PDFs, and documents
- Provide customer support
- Operate, secure, maintain, and troubleshoot the service
- Comply with applicable legal obligations
We do not sell your personal information.
3. Google User Data
Tilo requests access only to the Google permissions needed to provide the app’s meeting assistant functionality.
If you connect Google Calendar, Tilo uses read-only Google Calendar data only to:
- Identify upcoming calendar events
- Detect whether a calendar event contains an online meeting link
- Allow the Tilo meeting bot to join the meeting when authorized by you
- Generate meeting notes, summaries, transcripts, and action items for that meeting
Tilo does not use Google user data for advertising.
Tilo does not sell Google user data.
Tilo does not use Google user data to train general AI models.
Tilo does not use Google Calendar data for any purpose unrelated to providing the app’s meeting assistant functionality.
Tilo does not create, edit, or delete Google Calendar events.
Tilo does not share Google user data with third parties except where necessary to provide the app’s user-facing meeting assistant functionality, comply with applicable law, or protect against security threats and abuse.
Tilo’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. Third-Party Service Providers
To provide Tilo’s features, we may use trusted service providers, including Recall.ai for meeting bot infrastructure, AI processing providers for generating meeting notes and summaries, speech-to-text services, hosting providers, authentication providers, email or support services, and document processing tools.
Recall.ai may process meeting access information, meeting links, and meeting content only as necessary to allow the Tilo meeting bot to attend meetings authorized by the user.
These providers may process information only as necessary to provide services to Tilo. We do not allow service providers to use your meeting content, uploaded files, or Google user data for their own advertising, marketing, model training, or unrelated purposes.
5. AI Processing
Tilo uses AI technologies to generate summaries, notes, insights, and action items from meeting recordings, transcripts, PDFs, and other user-provided content.
AI-generated results may not always be perfect. Users should review important summaries, action items, legal, financial, medical, or business-critical information before relying on them.
Tilo does not claim ownership of the meeting content, recordings, transcripts, PDFs, documents, or calendar information that you provide or authorize.
6. Data Storage
Tilo is designed so that meeting recordings, uploaded files, transcripts, PDFs, and generated meeting notes are not permanently stored on our own servers unless required to provide the service requested by the user.
Content may be processed temporarily for the purpose of generating the requested output. Temporary processing may include short-term use in memory, processing queues, caches, or system logs required for service operation, security, debugging, or error handling.
After processing is completed, we aim to delete or make unavailable temporary content from our systems unless limited retention is required for security, troubleshooting, legal compliance, or service operation.
Google Calendar data is accessed on a read-only basis and used only to provide calendar-based meeting assistant functionality. We do not permanently store Google Calendar event content unless it is necessary to provide a user-requested feature.
7. Data Security
We take reasonable technical and organizational measures to protect user information from unauthorized access, loss, misuse, or disclosure.
However, no online service, transmission method, or storage system can be guaranteed to be completely secure. You are responsible for ensuring that you have permission to upload, process, or summarize any meeting recordings, documents, or personal information through Tilo.
8. User Responsibilities
By using Tilo, you confirm that:
- You have the right or permission to upload or process the content you provide
- You will comply with applicable laws, including recording consent laws
- You will not upload illegal, harmful, or unauthorized content
- You understand that generated summaries should be reviewed for accuracy
For meetings, you are responsible for informing participants and obtaining consent where required by law or by the rules of the meeting platform.
9. Data Retention and Deletion
Because Tilo is designed not to permanently store meeting recordings, uploaded files, transcripts, PDFs, or meeting notes on our own servers unless necessary to provide the requested service, most content is deleted or becomes unavailable after processing.
Some limited technical data, such as logs, error records, or security records, may be retained for a limited period to operate, protect, troubleshoot, and maintain the service.
You may contact us to request deletion of personal information we may have retained.
10. Your Rights and Choices
Depending on your location, you may have rights to access, correct, delete, restrict, or object to the processing of your personal information.
You may disconnect Google Calendar access at any time through your Google Account permissions settings.

We may need to verify your identity before responding to certain requests.
11. Children’s Privacy
Tilo is not intended for children under the age of 13, or the minimum age required by applicable law in your region. We do not knowingly collect personal information from children.

12. International Data Processing
Tilo and its service providers may process information in countries other than your own. By using Tilo, you understand that your information may be processed where we or our service providers operate.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the effective date above. Continued use of Tilo after changes means you accept the updated Privacy Policy.
